Notify Parties

When an event occurs on a declaration, you can set up ClearPort to automatically send emails to any recipient to let them know what has happened. You can select one or more events for each notification.

What events can I setup email notifications on?

CDS Imports

  • Declaration accepted
  • Customs Cleared
  • Immediate Payment Reference available
  • Rejected after acceptance
  • Documents requested
  • HMRC Query
  • Payment reminder
  • Goods controlled by Customs

CDS Exports

  • Declaration accepted
  • Customs Cleared
  • Rejected after acceptance
  • Documents requested
  • HMRC Query
  • Goods controlled by Customs
  • Exit results not received

NCTS Departures

  • Declaration positively acknowledged
  • Declaration rejected
  • MRN Allocated
  • Released for Transit
  • Not Released
  • Written Off
  • Rejection from office of departure

Safety & Security (ENS)

  • MRN Assigned
  • Do not load

What level of granularity can I setup email notifications on?

Global

An email will be sent whenever any declaration causes the selected event(s) to occur.

Per Declaration

An email will be sent whenever the specified declaration causes the selected event(s) to occur.

Per EORI Number

An email is sent whenever any declaration causes the selected event(s) to occur, where the specified EORI is present.

How do I create a Notify Party?

Global

  1. Navigate to Automations > Notify Parties
  2. Click Create
  3. Enter the email address of the intended recipient
  4. In Name, optionally enter a descriptive name for the notify party
  5. Select the events that you want the party to be notified of
  6. Check Include Attachment in email to optionally include the declaration PDF
  7. Click Submit

Per Declaration

  1. Navigate to the required declaration
  2. Click the Cog on the top right-hand-side
  3. Click Notify Parties, and click Create
  4. Enter the email address of the intended recipient
  5. In Name, optionally enter a descriptive name for the notify party
  6. Select the events that you want the party to be notified of
  7. Check Include Attachment in email to optionally include the declaration PDF
  8. Click Submit

Per EORI Number

  1. Navigate to Standing Data > Contacts
  2. Select the required Contact, or create a new one
  3. Scroll down to the Notify Parties section and click + Add
  4. Enter the email address of the intended recipient
  5. In Name, optionally enter a descriptive name for the notify party
  6. In Party Types, select the roles that the notification will be triggered on. e.g. if you want the notification to trigger only when the EORI is present on an Export as the Consignopr, select Export Consignor and nothing else
  7. Select the events that you want the party to be notified of
  8. Check Include Attachment in email to optionally include the declaration PDF
  9. Click Submit
